The following contract and its terms will set forth an agreement between SnapTastic Limited (Provider) and (the parties), for photo booth services for an event taking place at YOUR VENUE. This written contract sets forth the full, written intention of both parties and supersedes all other written and/or oral agreements between the parties. 

Service Period

The Service Period, which includes the dates, times, and duration of the booking, can be found in the invoice. We will arrive an hour before the service period begins to set up the photo booth. The provider commits to keeping the Photobooth operational for at least 90% of the service period, with occasional interruptions for maintenance purposes such as changing photo paper, adjusting the camera or printer, etc.

Client Obligations

  • The performance area should have easy delivery access. If the only access is through stairs, the provider should be informed beforehand. SnapTastic Limited has the right to cancel any booking due to inaccessibility to the performance area. In such cases, a lost hour fee of £100 will be charged, along with a round trip travel charge of 50p per mile, and the loss of the £50 deposit.
  • For the photobooth setup, a surface that is level and smooth, with a minimum area of 4m by 4m and a minimum height of 2.5m, is required.
  • The photobooth requires access to an electrical outlet within a 10-foot radius of the designated performance area.
  • If the event is held outdoors, a covered or tented area such as a marquee is required. In the event that the client is unable to provide a covered or tented area, SnapTastic Limited reserves the right to refuse outdoor service at any time to prevent potential damage to our equipment.

SnapTastic Limited Obligations

  • Ensure that the photobooth remains functional for the entire duration of the booking.
  • Offer unlimited prints during the indicated service period, with a limit of 2 prints per session (unless upgraded). Additional copies can be arranged.
  • Provide complimentary design and layout services for the print outs, which include a minimum of 1 photo and a maximum of 4 photos per print.
  • Offer a complimentary customised design for the greenscreen if the package includes a customised backdrop.
  • Supply free props to use on a table, unless the client requests otherwise.
  • Provide a USB stick of the photos and an online gallery on the website for at least 6 months from the booking date.
  • Assign an on-site staff member to assist guests with the photobooth and ensure its continuous operation.
  • Include any additional items specified in the booking invoice as part of the package.
  • Provide free transportation within the indicated service area (50 miles of Rotherham). For events outside the service area, an additional transportation fee will be charged at a rate of 50p per mile, both ways.
  • Install, deliver and remove the photobooth promptly.

Upon signing this contract, a non-refundable deposit of £50 is required. The remaining balance is due at least 2 weeks before the booking date and can be paid through our online invoice by Credit/Debit Card or by BACS bank transfer (the transfer must include the date of booking as a reference). We do not reserve your date until we receive the deposit. Any rental time beyond the agreed service period on the invoice will be charged to the operator at a rate of £60 per hour, billed in increments of £30 per half-hour. If the full balance is not paid 2 weeks before the function, an additional charge of £25 will be added to the invoice per week overdue. Failure to pay the full balance within 7 days of the booking date will result in the loss of the deposit and the cancellation of the event. The invoice can be paid in instalments (minimum £10) through standing order or regular payments online at any time after the initial deposit is made.

Date Changes and Cancellations

Changes to the event date must be requested in writing, either electronically (via text message or email) or in paper form, at least four weeks prior to the event. Such changes are subject to the availability of the photo booth and require a new Service Contract, with pricing reflecting the current rates listed on www.snaptastic.co.uk. If the photo booth is not available on the new date, the deposit will be forfeited, and the event cancelled. If the booking is cancelled prior to the event, the deposit will be forfeited and any additional payments made will be refunded.


Damages to Provider’s Equipment

Client acknowledges that it shall be responsible for any damage or loss to the Provider’s Equipment caused by: A) Any misuse of the Provider’s Equipment by Client or its guests, or B) Any theft or disaster (including but not limited to fire, flood or earthquake). The client acknowledges that it shall be responsible for supervising any children in the photobooth and any damage or loss to the Provider’s equipment as a result of children misusing the equipment will be charged for replacement.

Warranty

In case of mechanical failure or any other reason that prevents SnapTastic Limited from providing a functional photobooth, the maximum liability of SnapTastic Limited is to return any payments received. The Client agrees that SnapTastic Limited will not be held responsible for any consequential damages. If the company is only able to provide partial services due to conditions under its control, then rental charges will be refunded on a prorated basis.

Model Release Option

YOU CAN CHOOSE TO OPT IN OR OUT TO OUR MODEL RELEASE OPTION. PLEASE CONFIRM WHEN BOOKING.
We understand that some clients prefer to keep their event photos private. To respect your privacy, we offer an option to opt-out of allowing us to use your photos on our website, promotional material, and social media pages. However, if you do allow us to use your photos, we would love to showcase them to promote our business. By using our photo booth service, all guests agree to the following: SnapTastic Limited has the right and permission to copyright and use photographic portraits or pictures of any photo booth user who may be included intact or in part, made through any and all media now or hereafter known for illustration, art, promotion, advertising, trade, or any other purpose. Furthermore, guests release, discharge, and agree to save SnapTastic Limited from any liability that may occur or be produced in the taking of said pictures or in any subsequent processing or publication, including, without limitation, any claims for libel or invasion of privacy.

Miscellaneous Terms

If any part of these terms is found to be unlawful, void, or unenforceable under Contract Law, that specific provision or portion will be considered separate from the rest of the contract and will not affect the validity and enforceability of the remaining provisions or portions. This agreement constitutes the entire understanding between the Provider and the Client with respect to the subject matter and may not be amended except in writing signed by both parties. If a dispute arises between the parties, the Client agrees to resolve the issue through arbitration.

Public Liability

SnapTastic Limited provides minimum £1m public liability insurance coverage for all bookings, and all colleagues and contractors are covered by the company’s Employers Liability Insurance. Clients can request proof of cover by emailing bookings@snaptastic.co.uk If the venue requires a higher value of coverage, SnapTastic Limited can arrange it for an additional fee.

The equipment provided by SnapTastic Limited undergoes annual PAT testing and maintenance to ensure safety. Clients can request a copy of the PAT testing certificate from bookings@snaptastic.co.uk if the venue requires it.
